The role

The Marketing & Operations Assistant supports the day-to-day execution of Pamela's marketing and business operations. This role bridges the gap between strategy and implementation, ensuring that content, communications, and marketing initiatives are consistently executed while allowing Pamela to focus on client work, teaching, writing, and thought leadership.

Marketing & Content

  • Create and schedule social media posts from existing content
  • Edit short-form videos and create captions
  • Format and schedule newsletters in Mailchimp
  • Repurpose workshops, newsletters, podcasts, and talks into social media content
  • Upload blog posts and website content
  • Create simple graphics in Canva as needed

Website

  • Make routine website updates
  • Publish new pages and workshop information
  • Update program dates, pricing, and registration links
  • Test forms, links, and user experience
  • Coordinate with the web developer when larger changes are needed

Marketing Operations

  • Maintain the marketing calendar
  • Track inquiries and registrations in the CRM
  • Monitor lead sources and referral partners
  • Organize marketing assets and documents
  • Assist with launch preparation and promotional campaigns
  • Lead generation including podcasts and live speaking opportunities

Administrative & Technical Support

  • Provide day-to-day technical support for Pamela (email, Zoom, Mailchimp, website, file organization, etc.)
  • Schedule meetings and coordinate logistics
  • Prepare workshop materials and participant communications
  • Troubleshoot basic technology issues before escalating them
  • Maintain organized systems and documentation

Collaboration

  • Work closely with Marketing Manager to implement marketing strategy and priorities
  • Support Pamela in bringing new ideas, workshops, and content to life
  • Flag items needing attention and proactively keep projects moving forward

Success in This Role

The ideal assistant is highly organized, proactive, comfortable with technology, and enjoys turning ideas into action. They don't need to create strategy or write original content, instead, they excel at implementing plans, keeping projects organized, and ensuring nothing falls through the cracks.
